
ATS - What is it?
Most large employers, all recruiters and all online jobs boards now use automation in the form of an applicant tracking software (ATS) system or an AI tool to screen the CVs and resumes they receive, with many mid-sized organizations also increasingly embracing this technology.
ATS certainly saves recruiters time and money but, by definition, it means that they automatically reject an estimated 70% or more of the submitted CVs and resumes - without them ever being read by a human.

Many of us are aware that recruiters have been using software to assist in shortlisting for the last 10 years or so, but the technology has been greatly refined in recent years with the advent of AI - Artificial Intelligence.
And thanks to Covid, its presence in the recruitment process has been secured – convenience and fast results made up for the lack of staff who may have been absent due the pandemic.
AI software is now used in the initial recruitment processes of many multinational companies including bank JPMorgan, accountancy firm PwC, Amazon, McDonald's, the World Bank, Dropbox, Spotify, Tesco and Kraft Heinz. An interview with a human recruiter then follows, if you pass.
How to beat the system
There are a number of effective ways to improve your chances of getting past these powerful job-market gatekeepers, and even some advantages that can be had for job-seekers:

Ensure you include Keywords in your CV / resume: before you submit an application, do your homework and read through the advert as well as the company website to identify the qualifications, skills and experience required, and incorporate them into your CV / resume.

Be specific about relevant qualifications using the correct name and making sure all spellings are accurate. You can even use some of the specific phrases used in the advert when building your CV / resume.

Don’t be afraid to use the most critical keywords more than once as systems often award points for each mention, but don't go mad. Also, bear in mind that ultimately your CV or resume will end up in the hands of a human, so these keywords and phrases need to read naturally.

A skills section or a qualifications summary is a great way of clocking up points by listing keywords.

Overly creative CVs or resumes with inventive layouts may grab a human recruiter’s attention, but actually lower the odds of making it through this initial cull, so keep the formatting simple.

Some ATS cannot handle images, photos, graphics, charts or tables that you might want to include within the document - even some lesser-known fonts or fancy bullet points can cause a problem.
A top tip is to have a separate version of your CV or resume in plain text purely for online applications, with a nicely formatted version for the humans.

Use standard headers and titles such as Work Experience, Career History, Qualifications, and Education, rather than “Employment Snippets”, “Where and What I Learned” or other flowery labels. An ATS will only understand what it has been programmed to and will ignore everything else.

The file format is important – most ATS will specify the type of file that is acceptable so always make sure you upload what is asked for. A Word document or a plain text file will be acceptable for nearly all systems.
